    This Privacy Policy explains how Martial Arts Media™ collects, uses, stores, and shares your personal information when you visit martialartsmedia.com, contact us, subscribe to our podcast or marketing communications, become a Partner, or use MAM.Pro.

    Martial Arts Media™ is operated by New Economy Masters Pty Ltd (ABN 36 135 462 270, ACN 135 462 270), based at Suite 8, 84 Wises Road, Maroochydore QLD 4558, Australia. In this Policy, “we”, “us”, or “MAM” refers to this company. “You” refers to the person we are collecting information from.

    We take your privacy seriously. This Policy is written in plain English so you can understand what we do with your information. If anything is unclear, contact us at team@martialartsmedia.com.

    1. Who This Policy Applies To

    This Policy applies to three groups of people whose data we handle:

    1.1 Website Visitors and Prospects

    People who visit martialartsmedia.com, listen to our podcast, download lead magnets, subscribe to our email list, or contact us to learn about our services.

    1.2 Partners

    Martial arts school owners who have joined the Partners program and use MAM.Pro to run their schools.

    1.3 Students of Partners

    People (often including minors) whose information is uploaded into MAM.Pro by Partners. We handle this data on behalf of Partners. The Partner is responsible for their students’ personal information — we are a service provider that stores and processes it on the Partner’s instruction. We explain this in more detail in Section 8.

    2. What Information We Collect

    2.1 Information You Give Us Directly

    When you interact with us, you may give us:

    • Name and contact details (email, phone, mailing address)
    • Business information (school name, location, student count, business goals)
    • Payment information (handled by our payment processor; we do not store full card numbers)
    • Account login credentials
    • Content you submit (testimonials, survey responses, support requests, community posts)
    • Any other information you choose to share with us

    2.2 Information We Collect Automatically

    When you visit martialartsmedia.com or use MAM.Pro, we automatically collect:

    • IP address and approximate location
    • Device, browser, and operating system information
    • Pages you visit, time spent, and how you arrived at our site (referring URL)
    • Interaction data inside MAM.Pro (features used, login times, activity logs)
    • Cookie and pixel data (see our Cookie Notice for details)

    2.3 Information from Third Parties

    We may receive information about you from:

    • Social media platforms when you interact with our content or click our ads
    • Advertising platforms (Meta, Google) for ad performance and audience matching
    • Referring Partners or affiliates who introduce you to us
    • Public business directories and registers (e.g. ASIC)

    3. How We Use Your Information

    We use your information for the following purposes:

    3.1 To Deliver Our Services

    • Providing access to MAM.Pro, the Partners program, and related services
    • Processing your payments and managing your subscription
    • Sending you transactional communications (welcome emails, billing notices, service updates)
    • Providing customer support
    • Running automated workflows you have set up inside MAM.Pro

    3.2 To Market to You

    • Sending you marketing emails about our services, podcast episodes, events, and content (you can unsubscribe at any time)
    • Running advertising campaigns on platforms like Meta and Google, including remarketing/retargeting
    • Creating audience segments for advertising (we may share hashed email addresses with platforms like Meta to match you to advertising audiences)

    3.3 To Improve Our Services

    • Analysing how the website and MAM.Pro are used
    • Researching new features and product improvements
    • Producing aggregated, de-identified reports on user behaviour

    3.4 AI Processing

    MAM.Pro and the Partners program include AI-powered features. We use AI for:

    • Platform AI — in-app support, answering technical and onboarding questions, helping you navigate the system
    • Partners AI — coaching and strategy guidance, which may analyse your business context to provide recommendations
    • Features inside MAM.Pro that you choose to use, such as AI-assisted messaging or content generation

    AI processing uses third-party AI providers under contractual obligations to protect your data. AI does not make automated decisions that produce significant legal or commercial effects on you. AI recommendations are tools for you to evaluate and act on, not autonomous decisions.

    3.5 To Meet Legal Obligations

    • Complying with tax, financial reporting, and business record-keeping requirements
    • Responding to lawful requests from regulators, courts, or government authorities
    • Detecting and preventing fraud, abuse, or breaches of our Terms

    4. Who We Share Your Information With

    We do not sell your personal information to anyone. We share information only with the categories of recipients listed below, and only as needed to deliver our services and run our business.

    4.1 Service Providers and Infrastructure

    We use third-party providers to operate our business. These providers process your data on our behalf, under contract, and only for the purposes we direct:

    • HighLevel Inc. (operating GoHighLevel) — the underlying infrastructure for MAM.Pro, including CRM, automation, hosting, and database storage. Located in the United States.
    • LeadConnector — our communications service for SMS, email, and voice features inside MAM.Pro. LeadConnector uses Twilio for carrier-level message and call routing.
    • SimConnect — our white-labelled telephony service for connected landline and mobile services, operated via our CRM SIM provider.
    • Stripe — our payment processor for subscription billing and one-off purchases.
    • Google (Google Workspace, Google Analytics) — for business communications and website analytics.
    • Meta (Facebook, Instagram) — for advertising, including the Meta Pixel and Conversion API.
    • OpenAI and Anthropic — for AI processing inside Platform AI, Partners AI, and other AI features within MAM.Pro.
    • Other providers we engage for hosting, analytics, customer support, email delivery, and similar operational services.

    4.2 Advertising and Marketing Partners

    We may share hashed email addresses, customer lists, and audience data with advertising platforms (Meta, Google) to:

    • Show advertising to people who have interacted with us
    • Find new audiences similar to our existing customers
    • Measure ad performance

    We do not share full unhashed personal data with advertising platforms. Hashed data means your email is converted into a one-way encrypted string before being shared.

    4.3 Legal and Safety

    We may share information when required by law, including in response to:

    • Court orders, subpoenas, or other lawful legal requests
    • Investigations of fraud or violations of our Terms
    • Protection of our rights, property, or safety, or that of our Partners or the public

    4.4 Business Transfer

    If we are involved in a merger, acquisition, asset sale, or business reorganisation, your information may be transferred to the new entity. Any such transfer will be subject to a privacy policy at least as protective as this one.

    5. Cookies, Pixels, and Tracking

    Our website uses cookies, pixels, and similar tracking technologies. These include:

    • Essential cookies (required for the site to function)
    • Analytics cookies (Google Analytics or equivalent, to understand how our site is used)
    • Advertising cookies (Meta Pixel, Google Ads, retargeting platforms)
    • Functional cookies (to remember your preferences)

    Full details of the tracking we use are set out in our Cookie Notice. You can control most cookies through your browser settings, but disabling certain cookies may affect how the site works for you.

    6. How Long We Keep Your Information

    We keep your information only for as long as we need it. Specifically:

    • Active Partner data — for the duration of your membership
    • After Partner cancellation — for 90 days, during which time you can request a data export, after which we may delete it
    • Prospect and lead data — for as long as needed to follow up, generally up to 24 months from your last interaction with us
    • Marketing subscriber data — until you unsubscribe, plus a short suppression period to honour your unsubscribe request
    • Financial and tax records — for 7 years from the relevant transaction, as required by Australian tax law
    • Backups — for a limited period after deletion from active systems, as part of standard system backup and recovery practices

    Where we no longer need your information, we either delete it or de-identify it so it can no longer be linked to you.

    7. How We Protect Your Information

    We take reasonable steps to protect your personal information from unauthorised access, loss, misuse, alteration, or disclosure. These steps include:

    • Storing data on secure infrastructure with industry-standard encryption
    • Restricting access to your data to people who need it for their work
    • Requiring service providers to maintain appropriate security measures
    • Using HTTPS encryption for data transmitted between you and our services
    • Monitoring for security incidents

    No system is 100% secure. If we become aware of a security incident affecting your personal information, we will notify you as soon as reasonably practicable and assist you with any obligations you may have to people whose information you control.

    8. Student Data and Partner Responsibilities

    This Section is important for Partners who upload student data into MAM.Pro.

    8.1 Roles

    When you (as a Partner) upload your students’ personal information into MAM.Pro, you are the data controller for that information. We are a data processor — we store and process it on your instructions to provide MAM.Pro services to you.

    Your students’ information is your responsibility. You must have a lawful basis (such as consent) to collect their information, and you must comply with privacy laws that apply to you and your school.

    8.2 Minor Students

    Many martial arts students are minors. Where you collect and upload minor students’ information into MAM.Pro, you are responsible for obtaining appropriate consent (typically from a parent or guardian) and for complying with laws that protect minor data in your jurisdiction.

    We process minor student data on the same secure infrastructure as other data, but you remain the controller of that information.

    8.3 Our Processing Obligations

    As your service provider:

    • We process student data only to provide MAM.Pro services to you
    • We do not use student data for our own marketing or analytics purposes
    • We notify you if we become aware of a security incident affecting your data
    • We assist you with reasonable requests to access, correct, or delete student data

    9. Your Rights

    Depending on where you live, you have rights regarding your personal information. We honour the following rights for all users, regardless of location:

    • Access — you can request a copy of the personal information we hold about you
    • Correction — you can ask us to correct inaccurate or outdated information
    • Deletion — you can ask us to delete your personal information, subject to our legal obligations to retain certain records
    • Withdrawal of consent — you can unsubscribe from marketing emails at any time using the link in any marketing email, or by contacting us
    • Objection — you can object to certain processing of your information, including direct marketing
    • Portability — you can ask us to provide your information in a portable format

    9.1 How to Exercise Your Rights

    To exercise any of these rights, email team@martialartsmedia.com from the email address associated with your account. We will respond within 30 days of receiving a verified request.

    We may need to verify your identity before responding to your request. This is to protect your information from unauthorised access.

    9.2 If You Are a Student of a Partner

    If you are a student of a martial arts school using MAM.Pro and you want to access, correct, or delete your information, please contact your school directly. They are the controller of your information — we cannot make changes to student data without instruction from the Partner who manages that account.

    10. International Users and Cross-Border Data Transfers

    We are based in Australia. Your information may be transferred to, stored in, and processed in countries other than your own — in particular, the United States, where our key infrastructure providers (HighLevel, Stripe, Google, Meta) operate.

    When we transfer your information internationally, we take reasonable steps to ensure it is protected to a standard consistent with Australian privacy law.

    10.1 European Economic Area, United Kingdom, and Switzerland

    If you are in the EEA, UK, or Switzerland, the General Data Protection Regulation (GDPR) and equivalent laws give you specific rights. These include the rights listed in Section 9, plus the right to lodge a complaint with your local data protection authority.

    Our legal bases for processing your information are:

    • Contract — to deliver services you have purchased
    • Legitimate interests — to operate our business, market to you, and improve our services, balanced against your rights
    • Consent — where you have explicitly opted in (e.g. marketing emails)
    • Legal obligation — to comply with applicable laws

    10.2 California Residents

    If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you specific rights, including the rights to know, access, delete, correct, and limit the use of sensitive personal information.     We do not sell personal information in the traditional sense. However, certain advertising activities (such as sharing data with Meta for advertising matching) may be considered “sharing” under California law. You can opt out of these activities by contacting us.

    If you are an Australian resident, you have rights under the Australian Privacy Act 1988, including the right to make a complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

    11. Children's Information

    Our website and direct services are not intended for use by children. We do not knowingly collect information directly from children under 16.

    If you are a parent or guardian and believe we have collected information from your child directly through our website or marketing channels, contact us at team@martialartsmedia.com and we will delete it.

    Note: this Section is about information collected directly by us through our website and marketing. Information about minor students uploaded by Partners into MAM.Pro is covered by Section 8, where the Partner (the school) is responsible for obtaining appropriate consent.

    12. Marketing and Communications

    When you give us your email address (for example, by subscribing to our podcast list, downloading a lead magnet, or becoming a Partner), we may send you marketing emails. These may include:

    • Podcast episode updates
    • New content and resources
    • Product updates
    • Event invitations and promotions
    • Educational material related to running a martial arts school

    You can unsubscribe at any time using the link at the bottom of any marketing email, or by emailing team@martialartsmedia.com. Unsubscribing from marketing does not affect transactional emails (such as billing or service notifications) that we need to send you as part of providing our services.

    13. Changes to This Policy

    We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the “Last updated” date below.

    If you continue to use our services after a material change, you accept the updated Policy. If you do not accept the updated Policy, you can cancel your account or stop using our services.
